Responsibilities
The Safety and Compliance Manager will have responsibilities in the following general areas:
Compliance
Responsible to maintain compliance with all federal, state and local laws and regulations, as
well as with all company policies and procedures related to safety and risk management.
- Maintain a full understanding of all current laws and regulations (DOT, FMCSA,
FTA, TLC, TPT, OSHA, ADA and other.
- Maintain accurate and complete records of compliance (driver qualification, hours
of service, drug and alcohol, IFTA, vehicle books)
- Complete all required external and internal reporting on a timely basis
Loss Prevention
Responsible to identify and mitigate all risks and exposure to loss associated with normal
operations, including: driving, maintenance, parking and storage of vehicles; building
security; workplace safety and employee health, and; ongoing assessment of driver
behavior and qualifications.
- Maintain the company’s Safety Policy, as well as the Employee Handbook and
Driver Handbook (as relates to safety, risk management and loss prevention)
- Maintain current and complete Driver Qualification Files (MVR, backgrounds,
CDL, DOT Medical, etc.)
- Maintain current and complete Mechanic Qualification Files (training,
certifications, etc.)
- Maintain proper safety equipment in vehicles, maintenance facilities and office
locations
- Monitor driver performance on a daily basis (logs, inspections, random
screenings)
- Perform facility and vehicle inspections on a regular basis
Investigations
Responsible to identify and investigate all accidents, losses and incidents of non-
compliance with prescribed procedures and policies.
- Violations of regulatory requirements or Company Policy (logs and hours of
service, vehicle inspections, workplace safety, roadside inspections, etc.)
- Establish, communicate and oversee Accident Management Protocols
- Investigate all vehicle accidents as to cause, responsibility and liability, and the
establishment of additional preventive measures
- Investigate all asset loss or damage (vehicles, property, equipment)
- Investigate all workplace accidents and injuries as to cause, compliance with
reporting protocols and the establishment of additional preventive measures
Reporting and Communication
Responsible to make all required reports and notifications to internal and externalstakeholders on a timely basis in the event of an accident, loss or incident of violation of
regulation or policy.
- Available as the first point of contact in the event of an accident or emergency
involving employees, vehicles or property and equipment
- Oversee the claims management process for all potential claims against auto,
general liability, property or workers compensation insurance policies
- Oversee the disposition of third party claims not reported to insurance
- Work directly with Maintenance and Accounting to establish the appropriate
reserves and accruals based on estimated claims amounts
- Provide regular management reports
- Safety Committee - Accident Status (preventable, DOT, reportable, etc.) and
Driver Evaluation
- Risk Management - Accidents and Claims Status (auto, general liability and
workers comp)
- Update on CSA activities, scores and trends
- General training and awareness (reasonable suspicion, first aid, etc.)
Training
Responsible to provide training related to all regulations and policy requirements pertaining
to safety and risk management, through a combination of in-person, virtual and self-directed
delivery methodologies.
- Schedule, prepare and deliver mandatory quarterly safety meetings for all drivers
and chauffeurs
- Actively participate in the screening and onboarding of all safety-related
employees (drivers, maintenance and fleet services, and dispatch)
- Provide regular updates to the Management Team and actively assist in the
development and implementation of ongoing training programs and materials
- Provide training and communication as needed in support of and compliance with
all Tennessee Drug Free Workplace requirements
Job Requirements
Required Knowledge, Skills and Duties
The Safety Manager will be required to multi-task, and will be expected to possess
knowledge and ability in the following areas:
- Extensive knowledge of DOT, OSHA, local, state and federal codes, rules and
regulations
- Understanding of motorcoach operation from the driver perspective (including
pre-trip inspections, customer service features and amenities, and pre- and post-
trip inspections and reporting requirements)
- Understanding of safety and mechanical requirements for motorcoach operations
- Knowledge and effective use of various technologies associated with the
operation of the business, including: Coach Manager; Vehicle MaintenanceSystem (VMS); Saucon; Sage; PayCor; other, including the collaborative
monitoring and reporting of driver exceptions and violations in both Saucon and
Distinctive (WAC) in support of the Driver Performance Reporting
- Effective and professional communication in a variety of settings, including
interaction with staff, drivers, mechanics, management, regulatory and insurance
representatives, and customers
- Ability to handle stressful situations, especially those caused by demanding or
challenging customers (internal and external), in a professional manner
- Available to work flexible hours as dictated by the specific demands of the
position
- Effective public speaking and presentation skills
- Ability to plan, assign and direct the work of staff as appropriate

Minimum Qualifications
- 5-7 years of similar experience in transportation or transportation services
industry
- Must work independently within the scope of established policies and procedures
- Must be able to follow written and oral communications as required and express
concepts and ideas clearly and effectively in oral and written forms
- Must be able to read, write and speak fluent English in order to communicate
effectively with customers, coworkers, law enforcement, emergency personnel
and the general public
- Prior supervisory experience is helpful
