Fire Prevention Project Coordinator
Job Description
As the Project Coordinator, you will provide day-to-day oversight of administrative and operational functions to achieve project sustainability and success in accordance with defined targets, strategies, and goals. You will provide Project Managers with professional and proficient administrative support for all project-related needs.
Typical hours: Monday to Friday, starting at 7:30 am and ending at 4:00 pm.
Travel: Some travel based on business needs to and from the primary office to various city or county offices and/or job sites.

Responsibilities
Candidates must be experienced in the following areas preferably within the fire sprinkler and fire alarm industry:
- Maintain bid logs and schedule job walks for Estimators
- Request and coordinate updates and amendments for any bids as are required
- Ensure that the Estimating team is fully aware of the terms and conditions of each bid they are working on
- Upon a bid being posted or received, ensure that all relevant documents are reviewed within 24 hours of posting.
- Help prepare project proposals, timeframes, schedule and budget
- Manage insurance certificates and business license requests
- Assist in acquiring permits and submitting plans for current and upcoming projects
- Coordinate with Scheduler
- Assist in planning, tracking, and coordinating various projects, ensuring adherence to timelines, budgets, and quality standards.
- Prepare and maintain comprehensive project documentation, reports, and summaries. Track project progress, milestones, and deliverables using project management tools.
- Act as a liaison between project teams, internal stakeholders, and external clients to ensure smooth communication and project alignment.
- Coordinate meetings, create agendas, and manage schedules for project-related activities. Follow up on action items and escalate issues as needed.
- Responsible for creating and submit close-out packages at completion of project
- Demonstrate a positive, professional attitude to all internal and external customers
- Actively participate in quickly resolving customer issues
- Other duties and responsibilities may apply depending on business needs
Job Requirements
Education and Experience:
- Previous working experience as a Project Coordinator for 2 years
- Fire Life Safety experience a plus
- Excellent organizational and time-management skills
- Outstanding communication, interpersonal and leadership skills
- Attention to details
- Proactive problem solver
- Excellent oral and written communication skills
- Ability to work well within a team and independently as needed
- Effectively use Microsoft Office & Google software to develop proposals, contracts, calendar appointments, and worksheets.
- Must have own transportation with a valid driver’s license and insurance.
