Responsibilities

Key Responsibilities for Fire Protection Billing Clerk:

  • Prepare and process invoices for fire protection system installations, inspections, and maintenance services.
  • Review and verify job costs, contracts, and billing details to ensure accuracy.
  • Work closely with project managers and field teams to gather necessary billing information.
  • Resolve any billing discrepancies or issues with clients in a timely manner.
  • Maintain and organize billing records and related documentation.
  • Assist with account reconciliations and follow up on outstanding payments.
  • Prepare and submit lien waivers, certificates of completion, and other required documentation.
  • Assist with monthly and year-end financial reporting as needed.
  • Provide general administrative support to the accounting and finance teams.

Job Requirements

Qualifications for a Billing Clerk:

  • Minimum of 2 years of experience in billing, accounts receivable, or administrative support, preferably in construction or fire protection.
  • Strong attention to detail and excellent organizational skills.
  • Familiarity with construction billing processes, change orders, and progress payments.
  • Proficiency in Microsoft Office Suite (Excel, Word, etc.); experience with construction-specific accounting software is a plus (e.g., Procore, Viewpoint, Sage 100).
  • Strong communication skills, both written and verbal.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Positive attitude and a team-oriented approach.
